Change company name, address, email address, EIN, and privacy settings

For security reasons, Intuit does not change company information or personal email addresses for you. Log in to QuickBooks Online and follow the outlined steps in this article to update your company information.

Change the Company Name

If you recently changed your company name, you need to update it in several places in QuickBooks Online:
  • Company name:"Doing business as" name or "Trade Name". This is how customers recognize the company.
  • Legal name:Name used to communicate with the government. Your company name will be automatically set as your legal name if this field is left blank.
  • Email Messages:Company name that appears on customer emails.
  • Location List:Applicable to QuickBooks Online Plus Only. Please ignore if you are not using location tracking.

Company name and Legal name

Important: If you're signed up for E-Services, QuickBooks Online will not allow you to edit the legal name on your account and will give an error Payroll system is unavailable or An application error occurred while processing your request. For more information, see Changes that require a new authorization form for electronic services.
To change the Company and Legal name:
  1. Select the Gear icon at the top.
  2. Under Your Company, choose Company Settings (or Account and Settings).
  3. Select Company from the left.
  4. In the Company name section, select the Pencil icon to edit the company phone and email address.
  5. Make the necessary changes.
    Note: Check the box before Same as company name if the company's legal name is the same as the company name. Remove the check and type in the company's legal name if it is not.
  6. Select Save then Done.

Email Messages

  1. Select the Gear icon at the top.
  2. Under Your Company, choose Company Settings (or Account and Settings).
  3. Select Sales from the left menu
  4. On the Messages section, enter the template on Email message field.
  5. Select Save then Done.

Location List (QuickBooks Online Plus users only)

  1. Select the Gear icon at the top,.
  2. Under Lists, choose All Lists.
  3. Select Locations, then the location you would like to change the company name.
  4. Choose Edit from the Action drop-down.
  5. Check the box before This location has a different company name when communicating with customers, then type in the new company name.
  6. Select Save.

Change the company address, phone, email, and your communication preference with Intuit

  1. Select the Gear icon at the top, then Company Settings (or Account and Settings) under Your Company.
  2. Select Company from the left menu.
    • Select the Pencil icon in the Contact info section to change your contact details.
      Note: Make sure you only have one email in the Company email field.
    • Select the Pencil icon in the Address section if you need to edit the company address.
    • Select Marketing Preference at the bottom of the page to change how Intuit sends out communication to you.
  3. Make the necessary changes.
  4. Select Save then Done.

Change a direct personal contact email address

Important: Changing the personal contact email address in Manage Users is for your company's internal use only and does not change the email associated with a login, how QuickBooks Online contacts the user of that login, and does not transfer a login (i.e. Master Admin). If you want to change the email address associated with your user ID and password, please see Change User ID and Password. QuickBooks Online
  1. Select the Gear icon at the top.
  2. Under Your Company, choose Manage Users.
  3. Select your name, then Edit on the Action column.
  4. Make the necessary changes.
  5. Select Save.
QuickBooks Online Accountant
  1. Select the Gear icon at the top.
  2. On Your Company section, choose Your Team.
  3. Select your name.
  4. Make the necessary changes.
  5. Select Save.

Change the company EIN

  1. Select the Gear icon at the top, then Account and Settings.
  2. Select Company from the left menu.
  3. Go to the Company name section.
  4. Select between EIN and SSN and fill out the box provided.
  5. Select Save then Done.
